Team Captain Guidelines

 

Purpose for Sending a Team to a Race:

1. To win
2. To promote the Atlanta Track Club
3. To promote Men’s Masters Team camaraderie

Steps to Forming a Team for your assigned Team Race (see note below):
1. Broadcast an email to team members at least 90 days prior to the race to promote the race. It is the team
    captain's responsibility to find team members for their assigned race.
2. Investigate race entry information and distribute to potential team members.
3. Research accommodations. Inform team members of which accommodations you will be handling and which are
    up to them. Research airfares and offer suggestions.
4. Obtain reimbursement amount from the Team Coordinator. Please contact the Team Coordinator once you have a
    reasonable idea of cost, i.e. number of runners interested, cost of airfare, hotel, etc. Then inform team members of
    reimbursement amount.
5. Form the teams based on the fastest runners. Slower runners can be added to complete a team.
6. Team captain must set and publish a deadline date (around 60 days prior to the race) to select the previously
    specified number of paid team members (this date should leave runners plenty of time to enter the race and make
    travel arrangements).
7. Team captain must specify a deadline date (around 30 days prior to the race) that the team members must confirm
    that they are going to the race. Communicate the final roster to the team coordinator.
8. Team captain must maintain a list of alternates. Faster runners who express interest after the deadline date should
    be placed onto the alternate list, based on time (i.e. they would move to #1 on the alternate list if they were the
    fastest).
9.  Once a person is selected and confirmed to a race team, they can not be "bumped" just because a faster person
     expresses interest after the deadline.
10. Distribute, collect, and submit to the Team Coordinator the expense reimbursement forms.
11. Collect results and times of team members and team placing. This needs to be given to the Newsletter
     Coordinator for monthly WINGFOOT article and to the ATC Men's Masters Team Coordinator for report to Board
     meeting.
12. Any questions or problems with this process should be directed to the ATC Men's Masters Team Coordinator
     right away.
NOTE: All Team races are agreed upon during the annual team meeting or can be selected later by the Team Coordinator based on budget, team competition and enough interested team members to make a team.

Each team captain must keep and send out a "log" of information to all team members who express interest in the race. Something like this:
